When you can (and can’t) cancel a picture car booking

Productions move fast — locations shift, scripts change, weather sabotages your best-laid plans. But not all changes count as valid cancellations, and not all cancellations are treated the same. Here’s exactly when you can cancel, when you can’t, and how the Terms protect both sides.

⏱️
Timing matters — the earlier you communicate, the easier (and cheaper) cancellations become.

Picture car bookings are time-sensitive — Owners clean, prep, fuel and block out their day long before the shoot. Productions need reliability, and so do Owners, which is why cancellations follow clear, transparent rules.

Everything below is guided by the Stars on Wheels Terms & Conditions, which always take priority if there’s any conflict.

Stars on Wheels is a booking platform. The contract for the vehicle is between you and the independent Vehicle Owner. The Terms exist to protect both sides from last-minute shocks.

1. When you can cancel a booking

You can cancel at any time — the platform never locks you into a job you no longer want. What changes is **whether additional payments are owed**.

You can cancel without owing the Balance when:

  • ✓You cancel early enough that the Owner has not incurred significant costs.
  • ✓No prep, travel or blocking-out work has been done by the Owner.
  • ✓The cancellation falls within the Owner’s stated grace period (if applicable).
Important: the Reservation Fee is always non-refundable. It secures the date and covers the SOW Booking Fee.

2. When you cannot cancel without cost

As the shoot approaches, Owners begin prep and turn down alternative work. Late cancellations can have real financial impact, which is why the Terms allow Owners to charge the Balance.

You may owe the Balance when you cancel if:

  • ✓You cancel close to the shoot date.
  • ✓The Owner has begun prep, cleaning or travel.
  • ✓The Owner has turned down other work for your booking.
  • ✓Cancellation breaches an agreed change, usage note or timeline.
Rule of thumb: the later the cancellation, the more likely the Balance becomes payable.

3. When a “change” becomes a cancellation

Many productions assume tweaks are harmless. But changes can alter cost, risk, availability and feasibility — meaning the Owner must approve them.

A change is treated as a cancellation when it:

  • ✓Moves the booking to a date the Owner cannot do.
  • ✓Significantly increases travel or time on set.
  • ✓Adds driving, wet work, stunts or rigging that was not agreed.
  • ✓Alters the nature of the job beyond the original brief.

If the Owner cannot accommodate your change — and you decide not to continue — the situation counts as a cancellation under the Terms.

Always log changes inside SOW messaging. It creates a timestamped record that protects you if a dispute arises.

4. When a Vehicle Owner can cancel

Owners can’t simply withdraw without reason. They are bound by the same transparent rules.

Owners may cancel only when:

  • ✓There is a genuine mechanical failure that makes the job unsafe.
  • ✓A sudden emergency makes attendance impossible.
  • ✓Usage changes introduced by production breach the agreed scope.

If an Owner cancels for reasons within their control, the Reservation Fee is refunded to you.

SOW will never leave you stranded. Support is available to help locate a replacement vehicle wherever possible.

5. When cancellations become disputes

Disputes usually come down to timing, communication or agreed usage. SOW resolves these by checking what is written in the platform chat.

SOW will review:

  • ✓Exact messages and agreements between both parties.
  • ✓Whether usage or plans changed without approval.
  • ✓When the cancellation was communicated.
Golden rule: If it’s important, put it in writing inside SOW messaging. It’s the evidence that protects both sides.
